Privacy policy
How we handle your information
This policy explains what this website collects, how we use it, and the choices you have. It covers the website only. If you become a client, your records are covered by the separate paperwork you receive when you start.
Effective October 22, 2026
Who we are
Greenwood Counseling Collective, LLC ("Greenwood Counseling Collective," "we," or "us") is a private counseling practice in Doylestown, Pennsylvania, run by Kathryn Roberts, LPC, NCC.
Before you reach out
- This website is not for emergencies. If you are in crisis, call or text 988 (the Suicide and Crisis Lifeline), or call 911.
- The information on this site is general. It is not medical or mental health advice, and it is not a substitute for care from a professional.
- Sending a message through this site does not make you a client or start a therapist-client relationship. Please share only what Kate needs to get back to you, and save personal health details for your first conversation.
What we collect
When you fill out the contact form: your name, phone number, email address, how you would like to be contacted, how you heard about us, and your message if you write one. We also record the date and time, and which page you sent it from.
When you visit the site: like most websites, our hosting provider processes technical information such as your IP address, browser type, and the pages you request. This is needed to deliver the site and keep it secure. Our analytics count visits without cookies and without identifying you (see Analytics below).
We do not ask for insurance details, diagnoses, or other health information through this website.
How we use it
- To reply to your inquiry and set up a free consultation or appointment.
- To send you a short email confirming that your message arrived.
- To understand, in general terms, how people find and use the site so we can improve it.
- To protect the site and the form from spam and abuse.
We never sell your information, and we never use your inquiry for newsletters, announcements, or marketing.
How we contact you
We reply the way you choose on the form. If you choose email, Kate will email you. If you choose phone, Kate may call or text you at the number you give us.
Who can see your inquiry
Kate is the only person at the practice who sees inquiries. If others join the practice, they will see an inquiry only when they need to in order to respond, and we will update this policy.
We also rely on a few service providers to run the website and the form. They handle your information only to provide their service to us:
- Google Workspace delivers your inquiry to Kate's email and saves it to a private spreadsheet in her account.
- Cloudflare hosts the website, protects it from attacks, and runs a bot check on the form (Cloudflare Turnstile) that looks at signals from your browser to tell people apart from automated spam.
- Postmark sends your confirmation email. It receives only your name and email address, never your message or phone number.
- Our website developer maintains the site and the contact form, and looks at form records only when needed to fix a problem.
We may also share information when the law requires it, or when it is needed to protect someone's safety.
Analytics
We use Plausible Analytics to understand how the site is used. Plausible does not use cookies, does not store personal information, and does not follow you across other websites. It shows us totals: which pages are visited, how visitors found the site, general location (country, region, and city), and device type. It also tells us whether a form was sent, or which required fields were left blank, but never what anyone typed.
The map
Our homepage includes an embedded Google Map of the office. When the map loads, Google receives your IP address and may set cookies, as described in Google's Privacy Policy. The "Get directions" link opens Google Maps directly.
Cookies
We do not use advertising or tracking cookies. The embedded map and Cloudflare's security features may set their own cookies, or store small bits of data in your browser, so that they work properly. You can block cookies in your browser settings; the site still works, though the map may not load.
How long we keep it
If you do not become a client, we delete your inquiry within about 30 days. We may keep it a little longer if we are still in touch about getting started, for example if you have asked us to follow up later. Our service providers may hold copies, such as backups or sent-email logs, for a limited time before they are removed.
If you become a client, we use your email address to invite you to our secure client portal. From then on, your information is part of your client record and is handled under the privacy notice you receive at intake.
Your choices
You can ask us to correct or delete your inquiry at any time. Call Kate at 267-875-3878, or send a note through the contact form, and we will take care of it.
Children and teens
Kate works with children and teens, and we are glad to hear from families. If you are under 18, please ask a parent or guardian to fill out the form for you.
Keeping it safe
The site uses an encrypted connection (HTTPS), and access to inquiries is limited to Kate. No website or email system is perfectly secure, which is one more reason to keep sensitive details out of the form.
Changes to this policy
If we change this policy, we will post the new version here and update the date at the top of the page.
